You should have received a memo from me earlier which contained some introductory material and your email login name and password.  The purpose of this memo is to explain the system in a little more detail and to help you set up your email in Outlook or Outlook Express. More on that in a few minutes.

 

Transition Period

We are considering the month of January, especially the first two weeks, as  a transition period for setting up the email system. Beginning February 3, we expect all teachers, para-pros and office personnel to check their email at least once per workday. Many important announcements and other information will be transmitted via email to the staff and it will be your responsibility to know about this information through the email system.

 

Email Addresses and Password

All email addresses consist of the first two letters of the person’s first name followed by the first 5 letters of the person’s last name followed by @bdalecards.org.  So, for example, my email address is rotuins@bdalecards.org.

 

Changing a password

To have your password changed, you will need to contact Ray Lewis at Bloomingdale Phone Company to do that. I don’t have any way to change your password.

 

Accessing your email from the web

You may access your email directly through the Internet by going to www.btc-bci.com.  In the upper left hand corner there is a link to the mail system. From there you can access your email from any computer on the Internet anywhere in the world. 

 

We have created a link on the intranet homepage that says Teacher Email. Clicking there will take you directly to the mail page of the BTC website.  This link will only be available to you at school because the intranet page is only available at school.

 

Using Outlook or Outlook Express

You may want to use Outlook or Outlook express if:

  • You use two or more email addresses at school
  • You want more flexibility
  • You are the only person who uses your computer

 

To find help in setting up Outlook or Express, go to Bdaleweb, then Computer Services, then Instructions for setting up Outlook. This link is right above the gray box.  If you still need help after you have tried this, please ask your building coordinator and then me if necessary.

 

 

 


 

Many of us use Microsoft Outlook or Outlook Express to access our email either at school or at home. If you do not intend to access your email with these tools, you do not need to read any further in this memo. The Outlook programs allow more manageability of your email and provide a place to maintain your directory. If you have another email address that is already used for mail transactions, you should use Outlook so that all of your mail will come together in one place.

 

The rest of the instructions are intended to guide you through the process of setting up Outlook. Even though it is quite long, only parts apply to you and so I will attempt to guide you to the parts that apply to your situation.

 

Accessing your email through Outlook or Outlook Express

 

If you intend to access your email only through the web and do not want to bother with Outlook or Outlook Express, you do not need to read any further.

 

Your new email address can be configured in outlook or outlook express but it needs to be configured on each machine on which it is used. Also, if more than one of you uses the same computer, it would probably be best to use the web-based access rather than outlook because I haven’t figured out how to keep your messages separate from each other.

 

It will not be possible for me to personally come around and configure your email for outlook on your machine so I am counting on the fact that you are capable of setting this up yourself if my instructions are clear enough. That is the next step.

 

Setting up your school or home computer to use outlook.

(If you use outlook express, skip this section and move to the outlook express section. If you don’t know which one to use, use outlook express described later.)

 

First, find out what version of outlook you are running.  To do this, open Outlook and then click on help on the menu bar and then click on About Microsoft Outlook. It will tell you what version you are using.

 

For Outlook 2000

 

If this is the first account you are adding you will be walked through the following steps:

 

  1. You may be told this is an email upgrade. If so, choose None of the above
  2. After clicking Next you should choose the box that says “Internet Only”
  3. In the box labeled “Display Name” type your name such as John Smith
  4. On the next screen put in your email address:  josmith@bdalecards.org
  5. On the next screen you are asked for incoming and outgoing servers. For both of these type: mail.btc-bci.com
  6. On the next screen you will see your login name on the top line. You should type your password on the second line. Don’t do this if you share this computer with others, especially students.
  7. On the next screen you should choose the line that says you are connecting using the LAN.
  8. Click next or finish through the next screen or two and you should be all set up.

 

If this is Outlook 2000 but you already have a different email account set up, follow these instructions:

 

  1. Open Outlook
  2. Click on Tools at the top and go down to accounts
  3. Click on Add
  4. Choose mail (it is a mail account you are adding.)
  5. Now you should be ready for step 3 and following on the previous list.

 

 

For Outlook 2002.

If this is the first account you are setting up in Outlook, you will be walked through the following steps:

 

I’m sorry, but I am not able to provide the steps for setting up Outlook 2002 initially. The steps should be similar to Outlook 2000 above, especially the information regarding incoming and outgoing servers.

 

If you already have an account in Outlook 2002, do the following:

  1. Open Outlook
  2. Click on Tools on the top menu bar
  3. Find Email Accounts
  4. Click on add new email account
  5. Click on next
  6. Click on Pop3 server and then next
  7. Fill in the information. Where you are asked for incoming and outgoing mail servers, type:  mail.btc-bci.com
  8. Finally click next and then finish.

 

 

If you intend to use Outlook Express, use these instructions:

 

If this is the first account you are setting up:

  1. You may be told outlook express is not currently your default client. You can go ahead and make it your default client.
  2. You are now asked for your display name. Type in your name such as John Smith
  3. Choose that you already have an email address that you would like to use, then type that email address into the space provided:  josmith@bdalecards.org
  4. Both the incoming server and outgoing server should read:  mail.btc-bci.com
  5. Now you should be given a screen with your login name on it followed by a place for your password. Don’t put your password in if you share this computer.
  6. You may be asked if you want to import other settings. Say, No, unless you know of some reason to say Yes.
